FarmSasa Privacy Policy

Effective date: 3 November 2026

1. About this policy

FarmSasa is a livestock management platform supporting dairy cattle, beef cattle, pigs, sheep, goats and poultry.

This Privacy Policy explains how FarmSasa (“we”, “us” or “our”) collects, uses, shares and protects personal information when you use our website, applications and related services.

It applies to farm owners, farm staff, veterinarians, nutritionists, agrovet businesses and other users.

2. Our role in handling information

We act as a data controller for information we use to manage user accounts, subscriptions, billing, security, customer support and our business operations.

Where a farm or business uploads personal information about its staff, customers or other individuals, that organisation generally determines why the information is processed. We process it on the organisation’s instructions to provide FarmSasa, subject to applicable law and any data processing agreement.

If your account is managed by your employer or farm owner, contact that organisation about its use of your information.

3. Information we collect

Depending on the features you use, we may collect:

Account information: name, email address, telephone number, login details, user role and organisation.

Farm information: farm name, location, livestock records, production data, breeding records, feeding programmes, veterinary records, inventory, expenditure and budgets.

Staff and professional information: staff names, assigned duties, contact details, professional qualifications and business profiles.

Payment information: subscription plan, billing details, transaction references, payment status and payment-provider confirmations.

Uploaded content: documents, photographs, receipts, reports and other records you submit.

Support information: enquiries, feedback and communications with us.

Technical information: IP address, device and browser details, activity logs, errors and security events.

Location information: location you enter and, where a feature requires it, device location provided with your permission.

Animal records are not necessarily personal information. However, records linked to an identifiable owner, employee, professional or other person may contain personal information.

Please avoid uploading unnecessary personal information, identity documents or sensitive information about people.

4. How we use information

We use information to:

Create accounts and manage farm access and permissions.

Provide livestock, production, feeding, breeding, health and inventory management features.

Generate reports, forecasts, schedules and decision-support outputs.

Process subscriptions, reconcile payments and maintain financial records.

Send service messages, reminders and alerts you configure.

Respond to support requests.

Maintain security, prevent fraud and investigate misuse.

Understand platform performance and improve our services.

Meet legal obligations and establish or defend legal claims.

Send optional promotional communications where permitted.

We rely on an appropriate legal basis for each activity, including performance of a contract, legal obligations, consent or legitimate interests where applicable. Where we rely on legitimate interests, we consider the impact on your rights.

5. AI-supported features

Where enabled, FarmSasa may use artificial intelligence to analyse information you submit and generate recommendations, explanations, feeding programmes, breeding schedules or other outputs.

Information needed for an AI feature may be processed by a third-party AI provider. Before enabling such processing, we will provide relevant information about the provider’s role and applicable safeguards.

We will not use identifiable customer content to train general-purpose AI models without separate, explicit permission.

AI outputs may be incomplete or inaccurate. They require appropriate human review, particularly where animal health, medication, nutrition, breeding or financial decisions are involved.

6. Payments

Payments may be handled by third-party providers, including mobile-money, card or banking providers available at checkout.

Those providers process information under their own privacy notices. FarmSasa receives information needed to confirm payments and manage subscriptions.

Do not send us your mobile-money PIN, card PIN, banking password or one-time security code.

7. Notifications and marketing

FarmSasa may send account, billing, security and operational messages by email, SMS, WhatsApp or in-app notification, depending on the features and preferences you enable.

You can manage optional farm alerts and unsubscribe from marketing communications. Essential account, payment and security messages may still be sent.

WhatsApp, telecommunications and email providers process delivery information under their own terms and privacy policies.

8. Who can access information

We may disclose information to:

Users authorised by your farm or organisation, according to their permissions.

Professionals or businesses you choose to share information with.

Service providers supporting hosting, storage, payments, communications, analytics, AI features and customer support.

Professional advisers who are subject to confidentiality obligations.

Authorities where disclosure is legally required.

Parties involved in a merger, acquisition or business transfer, subject to appropriate safeguards and any required notices.

We limit disclosures to what is reasonably necessary. We do not sell personal information or give advertisers access to private farm records for their independent advertising purposes.

9. International processing

Our service providers may process information outside Kenya.

Where personal information is transferred internationally, we use safeguards required by applicable law, such as appropriate contractual protections, recognised safeguards or another lawful transfer mechanism. Where consent is required, we will obtain it.

10. Retention and deletion

We retain information only for as long as needed for the purposes described in this policy, including providing services, meeting legal requirements, resolving disputes and maintaining security.

Retention periods depend on the information involved. Financial records may need to be retained after account closure. Information in backups may remain until the relevant backup cycle expires, with access restricted.

You may request account closure or deletion through the platform’s support options. We will explain any information we must retain and the reason for retaining it.

Where we process information for a farm or business, deletion and return of that information are governed by its instructions, our agreement and applicable law.

11. Security

We use technical and organisational safeguards appropriate to the nature and risks of the information processed.

No system is completely secure. You should protect your login credentials, assign access carefully and promptly report suspected unauthorised access.

If a personal data breach occurs, we will assess it and notify affected organisations, individuals and authorities where required by law.

12. Your rights

Subject to applicable law, you may have the right to:

Be informed about how your personal information is used.

Access your personal information.

Correct inaccurate or misleading information.

Request deletion where applicable.

Object to or request restriction of certain processing.

Withdraw consent for processing based on consent.

Request portability where applicable.

Request human review where legally applicable to solely automated decisions with significant effects.

Complain to the relevant data protection authority.

You may submit a privacy rights request through the support options available on the platform. We may verify your identity before responding.

In Kenya, you may also lodge a complaint with the Office of the Data Protection Commissioner.

13. Cookies and similar technologies

We use necessary cookies or similar technologies to support login, security and platform operation.

Where we use optional analytics or advertising technologies, we will provide relevant information and obtain consent where required. You can manage optional preferences through the controls provided.

14. Children

FarmSasa accounts are intended for adults aged 18 or over. We do not knowingly collect personal information directly from children.

If you believe a child has supplied personal information, please report it through the platform’s support options so we can investigate and take appropriate action.

15. Changes to this policy

We may update this policy as our services or legal obligations change. We will publish the revised policy with its effective date and provide additional notice of material changes where appropriate.
