FarmSasa Terms of Service
Effective date: 3 November 2026
1. Agreement to these terms
These Terms of Service govern your use of FarmSasa’s website, applications and related services.
“FarmSasa”, “we”, “us” and “our” refer to the FarmSasa platform and its operator. “You” means the individual or organisation using the services.
By accepting these terms when registering or purchasing a subscription, you agree to them. If you register for an organisation, you confirm that you have authority to bind it.
Our Privacy Policy explains how we handle personal information.
2. What FarmSasa provides
FarmSasa provides digital tools for managing dairy cattle, beef cattle, pigs, sheep, goats and poultry.
Depending on your subscription and available features, these tools may include:
Livestock identification and records.
Milk, growth, egg and other production tracking.
Feeding and nutrition management.
Breeding schedules and reproductive records.
Animal health, treatment and medication records.
Feed, medication, mineral and other inventory management.
Farm expenditure, budgets and reports.
Staff access and permissions.
Reminders, alerts and AI-supported assistance.
Connections with independent professionals and service providers.
Only features expressly included in your selected plan or written agreement form part of your subscription.
3. Eligibility and account security
You must be at least 18 years old and provide accurate registration information.
You must protect your credentials, use individual staff accounts where available and notify us promptly of suspected unauthorised access.
Farm administrators are responsible for granting appropriate permissions and removing access when staff leave or their duties change. You are responsible for activity you authorise through your account.
4. Farm records and lawful use
You are responsible for the accuracy, completeness and lawfulness of information you enter or upload.
You must have authority to upload personal information and share it with staff, professionals or other users. Where required, you must provide relevant privacy notices and obtain consent or another lawful basis.
You must not:
Access another user’s account or information without permission.
Upload unlawful content, malware or deliberately misleading records.
Use FarmSasa for fraud, harassment or unlawful activities.
Bypass security controls, subscription limits or access restrictions.
Interfere with the platform or other users’ access.
Resell or commercially exploit the service without permission.
Copy or reverse-engineer protected software except where applicable law permits.
5. Subscriptions and usage limits
Free and paid plans may have limits on livestock numbers, poultry numbers, users, farms, storage, features or other usage.
The pricing page and checkout will identify the applicable price, currency, billing period, limits, taxes and renewal arrangements before you purchase.
A free account does not create an entitlement to paid features. Trial conditions, if offered, will be disclosed before the trial begins.
If you exceed your plan’s limits, we may ask you to upgrade or restrict additional usage. We will not delete existing records solely because you exceed a plan limit without notice and a reasonable opportunity to act.
6. Payments and renewal
You agree to pay the charges disclosed when you subscribe.
A subscription renews automatically only where this is clearly disclosed and you authorise it. Where automatic payment is unavailable or not authorised, renewal requires a further payment.
You can cancel future renewal through the available account controls or the platform’s support options. Unless stated otherwise at purchase, cancellation takes effect at the end of the paid billing period.
If payment fails, we will notify you and provide a reasonable opportunity to resolve it before restricting paid access.
Price increases apply prospectively. We will give at least 30 days’ notice before an increase affects an existing recurring subscription and allow you to cancel before it applies.
7. Cancellation and refunds
Unless required by law or expressly offered at checkout, we do not provide refunds solely because you stop using the service partway through a paid billing period.
We will investigate duplicate payments, incorrect charges and failures to supply purchased services. Where a refund is due, it will normally be returned through the original payment method, subject to provider processing times.
If we permanently discontinue a prepaid service without providing an agreed equivalent, we will refund the unused portion of the affected prepaid subscription.
Nothing in these terms limits mandatory cancellation, refund or other consumer rights.
8. Animal health and professional advice
FarmSasa supports recordkeeping and decision-making. It does not replace a qualified veterinarian, animal nutritionist or other appropriately qualified professional.
Recommendations, reminders, AI outputs, feeding programmes and breeding schedules must be assessed against the animal’s species, age, weight, production stage, health, environment and current circumstances.
Medication selection, dosage, treatment, vaccination and withdrawal periods must follow applicable law, product instructions and advice from an appropriately qualified professional.
Do not rely solely on FarmSasa for emergencies, diagnosis or treatment. Contact a veterinarian promptly where an animal is ill, injured or at risk.
9. AI outputs and automated alerts
AI-generated content may contain errors or omissions. You must review it before acting.
Forecasts and recommendations are estimates rather than guarantees of production, fertility, profitability, health outcomes or cost savings.
Alerts depend on accurate records, configuration, connectivity and third-party delivery services. You remain responsible for monitoring livestock, inventory, treatment schedules and other time-sensitive activities.
10. Independent professionals and third-party services
Where FarmSasa connects you with veterinarians, nutritionists, agrovets or other providers, they act independently unless we expressly state otherwise.
Any separate service agreement is between you and the provider. Check qualifications, suitability, pricing and service terms before engaging them.
A verification badge, where offered, means only that the checks described alongside it were completed. It does not guarantee future performance or outcomes.
Third-party payment services, messaging tools and integrations may have their own terms. We remain responsible for our obligations under our agreement with you and applicable law.
11. Your content and our intellectual property
You retain your rights in the records, documents, photographs and other content you submit.
You grant us a limited, non-exclusive permission to host, process, transmit, back up and display that content as necessary to provide the services, follow your instructions and meet legal obligations. Personal information is handled under our Privacy Policy.
We may use information that has been appropriately anonymised and aggregated to understand usage and improve services, provided it does not identify individuals or reveal a farm’s confidential information.
FarmSasa’s software, branding, design and platform materials belong to us or our licensors. Your subscription gives you a limited right to use the service; it does not transfer ownership.
12. Confidentiality
We will protect non-public farm and business information and use it only to provide the services, follow authorised instructions, or as otherwise permitted by our agreement or law.
These obligations do not apply to information that is lawfully public, independently developed, or lawfully received without a confidentiality restriction.
13. Availability and changes
We will provide the service with reasonable care and skill. Maintenance, outages, connectivity failures and third-party disruptions may affect availability.
Unless a separate written agreement provides otherwise, no specific uptime commitment applies.
We may improve or change features. If a change materially reduces a paid service during a prepaid period, we will provide reasonable notice and an appropriate remedy, which may include continued access, an agreed alternative or a proportionate refund.
Keep independent copies of records that are essential to your operations.
14. Suspension and termination
We may restrict or suspend access where reasonably necessary to address serious security risks, unlawful activity, material breaches or overdue payments.
Where practicable, we will explain the reason and provide an opportunity to resolve the issue. Immediate action may be necessary to prevent harm or comply with law.
You may close your account through the platform’s support options or available account controls.
Where lawful and technically practicable, we will provide a reasonable opportunity to export available farm records before permanent closure. We will communicate applicable export and deletion arrangements. Retention after closure is governed by our Privacy Policy and applicable law.
15. Liability
Nothing in these terms excludes liability that cannot lawfully be excluded or limits your mandatory statutory rights.
Subject to that protection, neither party is liable for indirect or consequential losses arising from this agreement.
To the extent permitted by law, our total aggregate liability arising from the service is limited to the greater of:
The fees you paid us in the 12 months before the event giving rise to the claim; or
KES 10,000.
These exclusions and limits do not apply to fraud, wilful misconduct, gross negligence, or liabilities for breaches of confidentiality or data protection obligations.
16. Events outside reasonable control
Neither party is responsible for delay caused by events beyond its reasonable control, provided it takes reasonable steps to reduce the impact.
This does not remove payment obligations already incurred or your right to an appropriate remedy where a prepaid service cannot be supplied.
17. Governing law and disputes
These terms are governed by the laws of Kenya, subject to any mandatory protections that apply in your country.
Please raise any concern through the platform’s support options first so we can attempt to resolve it. Either party may propose mediation.
If a dispute remains unresolved, it may be referred to the competent courts of Kenya, unless applicable law gives you the right to bring it elsewhere. This does not prevent complaints to regulators or applications for urgent court relief.
18. Changes to these terms
We will publish updated terms with their effective date.
For material changes affecting existing users, we will normally provide at least 30 days’ notice. Shorter notice may apply where a change is required by law or urgently needed for security.
If you do not accept a material change, you may stop using the service and cancel renewal. Where the change materially reduces an existing prepaid service, the remedies in section 13 apply.
19. General provisions
If a provision is unenforceable, the remaining provisions continue to apply.
A failure to enforce a provision immediately does not waive the right to enforce it later.
Any separate written agreement signed with us takes priority to the extent it expressly conflicts with these terms.
